Good labels connect the physical installation to its record. A technician should be able to stand at a cabinet, read an identifier and find the corresponding panel, port, outlet or cable path without interpreting someone else’s private shorthand.

Use one location hierarchy

Build every identifier from the same approved site, room, rack, hardware and port references. Consistency matters more than inventing the shortest possible code.

1. Define the naming structure

Start with the physical hierarchy already used by the organisation. Assign stable identifiers to the site, building or area, communications room and cabinet. Avoid embedding information likely to change, such as a person’s name or a temporary department.

2. Label racks and installed hardware

Place the rack identifier where it can be read without opening or moving equipment. Identify patch panels, switches, fibre trays, power equipment and shelf-mounted devices using the same names recorded in the network documentation. Keep the label clear of vents, controls, serial plates and removable covers.

3. Keep panel and port numbering unambiguous

Confirm the manufacturer’s numbering direction before adding labels. When several panels are installed, give each panel a unique identifier and retain the visible hardware port number. Do not restart a site-wide sequence in a way that creates duplicate references.

4. Connect outlet labels to the rack record

Each outlet socket should resolve to one patch-panel position. Label sockets individually on multi-port plates and include enough location context to distinguish repeated room or desk numbers. Record non-consecutive mappings as installed rather than renumbering the documentation to make it look sequential.

5. Label cables where identification matters

Use labels appropriate to the cable type and environment. Place identifiers so they remain readable after patching and cable management. At minimum, important backbone, fibre, carrier, inter-rack and permanent links should be identifiable at both ends.

6. Link physical labels to controlled digital records

A QR code can provide a direct route to the correct rack record, but it should not make customer infrastructure public. CABVIX Rack QR identifies the protected record and directs unauthorised visitors through a sign-in and approval-request flow.

7. Include labels in change control

Update labels and records together when equipment moves, ports are reassigned or outlets change. Remove obsolete identifiers rather than layering contradictory labels over time, and record exceptions that cannot be corrected immediately.

Labelling review checklist

  • Site, room and rack identifiers are unique and readable.
  • Hardware names match the physical network record.
  • Patch-panel identifiers and port numbers are unambiguous.
  • Every documented outlet socket resolves to one panel position.
  • Important cables and links are identifiable at both ends.
  • Labels do not obstruct controls, vents or manufacturer information.
  • QR labels lead to protected records rather than public data.
  • Moves, additions and changes include a label and record update.
